This Privacy Policy describes how ProSolar Ltd ("ProSolar", "we", "us") accesses, processes, and stores data through its internal business applications ("the Software"). It applies to all internal applications operated by ProSolar Ltd, including those integrating with Salesforce, Intuit QuickBooks Online, Google services, and solar monitoring platforms.

Data accessed by the Software is not sold, rented, or shared with third parties for marketing or unrelated purposes. Data may be processed by infrastructure providers (Microsoft Azure) hosting the Software, and is exchanged with the third-party systems listed in Section 2 only in the course of performing the functions of the Software. Aggregated, non-identifying data may be shared with ProSolar's accountants or auditors as required for statutory or contractual obligations.

The Software is hosted on Microsoft Azure infrastructure within the European region. Authentication tokens for connected services (including OAuth tokens for QuickBooks Online and Google) are stored within secure Azure-managed configuration or in encrypted Salesforce custom objects. Access to the Software is restricted to authorised ProSolar personnel.

6. Retention

The Software does not maintain a separate long-term database of customer or financial data; instead it queries source systems (Salesforce, QuickBooks Online, etc.) on demand. Data retained within source systems is governed by the retention policies of those systems and by ProSolar's record-keeping obligations under Irish law (typically 7 years for financial records).

Under the General Data Protection Regulation (GDPR) and the Irish Data Protection Act 2018, data subjects have the right to access, rectify, erase, restrict processing of, or object to processing of their personal data, and the right to data portability. Requests may be made to jhayes@prosolar.ie. ProSolar will respond within one month of receipt.

8. Compliance with Third-Party Terms

The Software's use of QuickBooks Online data complies with Intuit's developer terms and the QuickBooks Online API Terms of Service. ProSolar's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. Data obtained from these services is used only for the purposes described in this policy and is not transferred for any unrelated purpose.

10. Complaints

You have the right to lodge a complaint with the Irish Data Protection Commission (dataprotection.ie) if you believe your data has been processed in a manner inconsistent with this policy or applicable law.
